Event Coordinator Supervisor


The Event Assistant is considered a supervisory role and works directly with the Event & Promotions Manager. This role oversees the setup and take down of events, manages events in progress and is trained in the selling, touring and planning of client events (weddings, meetings, training sessions, socials, etc.).  

Responsibilities and Duties

  • Oversee the management of events when in progress, including responding to guest needs and inquiries, finding solutions to problems, ensuring the safety and security of guests, monitoring the display floor and coordinating other CBHC staff and security. 
  • Coordinate Event set-up according to the event floor plan, including arranging tables, chairs, stage, etc. 
  • Daily cleaning and upkeep of the Event Facilities, including, but not limited to, garbage removal, washroom cleaning, laundering linens, cleaning dishes, cleaning the kitchen and mopping and sweeping. 
  • At times assist the Events & Promotions Manager with client meetings, event planning and tours.  
  • At times, in conjunction with the Events & Promotions Manager, book events and tours and complete all administrative duties associated with these events (ie: contracts, invoicing, Event Bible, etc.) as per CBHC policies. 
  • Follow all event and CBHC policies and procedures, including ensuring others comply as well. 
  • Bartend, if required. 
  • Complete daily cash deposit. 
  • Open and Close hangar doors when required for the event. 
  • Ensure all safety and health requirements are being followed by the event guests. 
  • Adherence to the terms of the CBHC Human Resources Manual and adheres to CBHC Health & Safety Policies. 
  • Assist in planning, organization and execution of CBHC fundraising events.  
  • Carries out other duties, as assigned. 


  1. Interaction with the public, external agencies and authorities, suppliers, contractors and staff shall result in positive acts and actions
  2. Ensures the safe functioning of events at the CBHC 
  3. Ensures work is performed in safe manner according to the occupational health & safety act and CBHC health and safety policies 
  4. Complies with all applicable policies, guidelines procedures, regulations and standards as prescribed by CBHC policies
  5. Ensures that records are organized, accurate, safely stored and available when required. 

Job Specifications

  1. Ability to direct and oversee other team members to ensure a seamless event. 
  2. Proven interpersonal skills with a history of customer service excellence. 
  3. Excellent attention to detail and organizational skills. 
  4. Strong judgement, decision-making and problem-solving. 
  5. Previous experience bartending or serving, or co-ordinating large events. 
  6. Experience processing cash and debit/credit transactions. 
  7. Flexible availability including weekends and evenings. 
  8. Gregarious and outgoing personality, strong attention to detail and scheduling flexibility.  
  9. Prudent and appropriate human resource interaction, 
  10. Demonstrated innovation and creativity in solving challenges, 
  11. Ability to regularly meet or exceed established objectives, and 
  12. Good written and verbal communication skills 
  13. Ability to drive a tractor

Working conditions and environment

  • This is a part-to-full time position.  
  • Hours of Work are set by the supervisor and as agreed to by the employee.
